State Swim Meet

Enclosed please find registration material for the 2017 State Swim Meet. We will hold this meet once again at Bates College in Lewiston on Thursday, April 13th. Please look carefully through the following items, which will answer questions you may have and should also help you with this registration process.
All entries must be submitted with Entry Qualifying Times! To get Entry Qualifying Scores athletes must attend a Regional Swim meet. Check out the link of the Regional Swim Meets 2017.

Event Rules & Event Options for Swimming: The events in Options #1-#3 are intended to provide meaningful competition for athletes with lower ability levels. As stated on the entry form, there will be no "cross-over" within the entry options, as there is a natural progression in the ability to compete in these events, starting with Option #1 through to Option #4. We hope you will train and challenge your athletes to the best of their ability.
Schedule of the day's events will be as follows:
NEW THIS YEAR - All Swim registration forms are fillable PDFs. This will allow you to download, electronically complete, save and send the forms without printing; saving paper and mailing costs. You will be able to input your registration information directly into the forms. You will be asked to save all registration forms and electronically send them to Ian Frank, IanF@somaine.org. For large teams that require multiple pages of a particular registration form, we ask that you save each registration page individually, naming them Delegation.Form.1, Delegation.Form.2 etc. To do this you will need to "click file and Save As". This will allow you to save each document to a specific folder on your computer which you will then be able to send to SOMaine as well as for you to have a copy. If you do decide to print the forms and complete manually, not recommended, please note that some of the information in the forms will not be visible. We understand that this is a new process and at any time if you have any questions please don't hesitate to contact our office.
Coach Education Policy: ALL registered coaches (Head of Delegation, Head Coaches & Assistant Coaches) must have a current certification for the following; Class A Volunteer Screening, Protective Behaviors Course and Concussion Awareness and Safety Recognition Course. You can find these documents/links on our website at www.somaine.org/sports/coachs-corner/become-a-coach/. If not already completed, they MUST be completed by March 29th.
Head of Delegation: This person is responsible for the entire delegation including; athletes, head coaches and assistant coaches. This person will send and receive pertinent information to and from Special Olympics Maine regarding; registration forms, athlete unified partner and coach requirements.
Head Coach Requirements: Every delegation must assign one certified head coach for every sport that they have athletes competing in. This person is responsible for the entire sports team including; athletes, unified partners and assistant coaches. Head coaches will be the liaison between their sports team and SOME.
Swim Coach's Training School Opportunities: SOMaine will offer the following Level 1 Swim Coach's Training Schools. These offerings will be the only opportunities for the Level 1 Swim certification that will be offered between now and the 2018 Swim meet. Typically this course has been offered during our annual Summer Coach's College, instead this year we will be offering the Michael Phelps IM program (Special Olympics, Inc's official Swim program). The Michael Phelps IM program will be a Level 3 certification and in order to register for the IM program at the Summer Coach's College coaches must already be certified as a Level 1 Swim coach.
Medicals & Consent Forms: ALL Athletes must have current medical & consent forms on file at Special Olympics Maine's State Office. It is your responsibility to insure that these (2) (current/completed) forms are on file here at our office, for every athlete you plan to bring to the games. If we already have a medical on file for an athlete and it is less than three years old, you don't need a new one, unless there has been a significant physical/medical change in one of your athletes. You may email Mark at MarkC@somaine.org to check on medicals in your file. We recommend that you make two copies of each medical/release form - keep one file of all medicals in a safe place and have a file with all your athletes' medicals that travels with you to events. Special Olympics Cumberland County Area Track and Field Meet 2017
When: Friday April 28, 2017 (Rain date May 5)
Where: Bonny Eagle Athletic Facilities, Standish, Maine
Medical: Coaches must have submitted to the state office and bring medical and release forms day of event for athletes to participate. You will be asked to sign an acknowledgement that you in fact have them with you. Athlete releases are good for life and medicals are good for 3 years from date of physician’s signature. Coaches: You should all have filled out the Class A volunteer form and taken the behaviors training online. More info contact Ian Frank at state office 879-0489
Again this year: We will be presenting place ribbons as opposed to participation ribbons as mandated by Special Olympics rules. Award areas for presentation of ribbons immediately after all running events can be found on attached map. Ribbons for all field events will be mailed out after the event. It is extremely important that all athletes run in their assigned heats there will be no changing of heats allowed. Please help out by making everyone involved with your teams aware of this.
Events Reminders: 1: Track events take precedence over field events. Athletes can always make up field events because of time conflicts with running events.
2: No pacing allowed athlete will be disqualified
3: Athletes participating in the 10M Assisted walk and/or the 25M walk may not participate in any running events. These two events are for Athletes with limited motor skills.
4: Athletes may participate in a maximum of 3 events plus a relay.
5: When signing up athletes for running long jump please be aware that it is a foul to step over line and attempt will not count.
6: Athletes participating in Walks will be Disqualified if they run.
Parade/ Opening Ceremonies: Begin at 9:20 Teams please line up at end of track near registration (bring posters identifying teams if you have some)
Day of Event: ONE PERSON FROM EACH TEAM SHOULD Sign in beginning at 8:15 am we will be set up near the end of track as marked on enclosed map. When you arrive you will receive a packet containing a letter, names tag for athletes (already filled out), name tags for coaches and chaperones, additional copies of map(please copy and make maps available to all coaches and people who will be bringing athletes ahead of their arrival) and a copy of your registration.
AGAIN THIS YEAR- Athletes will be lining up in staging tents not at starting lines (see map)
There will be concessions available for athletes, families, and coaches to buy snacks, lunch items, and drinks. There will be an activity area for athletes to help pass the time between events.
NEW: We will be selling a Cumberland County Shirt this year for $10.00 a limited amount will be available at the event and they maybe pre ordered here Cumberland County Shirt Order Forms to be picked up at the event! Please see attachment for photo of shirt
PLEASE Remember that this event is for our athletes and being flexible is the key to have it be successful for everyone; many people are volunteering their time and energy. Registration Deadline: Friday April 5, 2017 is the final deadline for registering. We would appreciate it greatly if at all possible you send me your registrations early as there is a lot of prep work involved in setting this up.

Bonny Eagle Middle School - FRONT LOOP - 92 Sokokis Trail - Buxton
Bonny Eagle High School - Loop - 700 Saco Road - Standish - This is a paved flat area that will allow easy access to the track areas and wheelchairs to be unloaded quickly and safely.
Buses will park at the Bus Garage which is accessible to the track area by a short walk. Additional parking will be available at the Free Will Baptist church about a mile from the facilities with a shuttle available from 9:30-10:30 and again from 12:15-1:15Please take bus drivers phone numbers to aid in communication.

We had over 500 athletes register last year and we expect as many, possibly more, this year. We need everyone's cooperation to make this work and to give our athletes the quality sports competition they deserve. This isn't a Field Day! It's a serious sports competition and as certified coaches you are expected to be training your athletes. There may be snow on the ground but there's an indoor track at the Old Town Y. There are other indoor places where some preparation training can take place while you wait for the snow to go. If you need a copy of the Training Guide, let me know and I'll email it to you.
